What are the steps to create a custom table style in PowerPoint?

Creating a custom table style in PowerPoint involves a combination of manual formatting, theme color application, and saving your work as a reusable template — because PowerPoint does not offer a dedicated “Save as Table Style” button the way Word does. Instead, you build your custom look by formatting a table directly on a slide, applying fill colors, border weights, font settings, and effects, then preserving that formatted table either as part of a custom theme or as a reusable slide template (.potx file) so your styling can be applied consistently across future presentations.

To get started, insert a table via the Insert tab and choose your row and column count. Once the table is on the slide, select it and navigate to the Table Design tab (called Design in some older versions like PowerPoint 2016). Here you’ll find the Table Styles gallery. Rather than applying a preset directly, scroll to the bottom of the gallery and click Clear Table Style to start with a blank slate. This gives you full control over every visual element without fighting against pre-existing formatting rules that can override your manual changes unexpectedly.

Custom styling in PowerPoint tables operates at three levels: the overall table fill and borders, individual row or column banding, and cell-level overrides. A common mistake is applying cell-level colors first and then trying to use the Header Row or Banded Rows checkboxes in the Table Style Options group — these toggles can overwrite your manual cell formatting. The safer workflow is to set your banding preferences using those checkboxes first, then apply cell-level overrides last. For borders, use Pen Color, Pen Weight (try 1.5pt for a professional look), and the Borders dropdown to apply consistently. Font sizes of 11-12pt in body rows and 13-14pt bold in header rows create clear visual hierarchy.

  • Start by going to Insert > Table and placing a table on your slide, then immediately click Clear Table Style in the Table Design tab to remove all preset formatting before you begin building your custom look.
  • Use the Shading dropdown to apply your primary brand color to the header row, choosing a color from the Theme Colors panel so it adapts automatically if the theme ever changes.
  • Enable Banded Rows in the Table Style Options group first, then use Shading to alternate between white and a 15-20% tint of your accent color to improve row-by-row readability for data-heavy tables.
  • Set border weight to 1pt for interior cell borders and 2pt for the outer table border using the Pen Weight selector, then apply using the Borders dropdown set to All Borders followed by Outside Borders.
  • Select individual cells in the header row and apply bold formatting and a contrasting font color (such as white on a dark fill) to ensure the header visually separates from body content at a glance.
  • Once your table looks exactly right, right-click the slide thumbnail and choose Duplicate Slide, then delete the slide content and save the file as a PowerPoint Template (.potx) so the styled table is ready to copy into future decks.
  • In PowerPoint 365, you can right-click a fully formatted table and select Set as Default Table — a feature not available in versions before 2019 — which makes your custom style the default for all new tables inserted in that presentation file.

The most practical takeaway is to treat your custom-styled table as a “master copy” living on a hidden or spare slide within your template file. Whenever you need a new table, duplicate that pre-styled version rather than inserting a fresh one and reformatting from scratch. Keep in mind this approach works best for single-brand or single-team templates; if your organization uses a centralized PowerPoint theme managed by an IT or design team, coordinate with them to bake the table style into the official .thmx theme file for truly organization-wide consistency.
